1. Check the printer itself
Start with the physical printer and confirm that it is powered on and showing a normal ready state. Look for visible messages about paper, ink or toner, a cover, or another condition that may require attention.
2. Confirm the correct printer is selected
A computer can have multiple printers or printer entries available. In the application you are using, confirm that the document is being sent to the intended printer rather than another saved or previously used device.
3. Review the print queue
Open the selected printer's print queue and check whether the document is waiting, paused, or showing another status.
If several documents are listed, review them in order. A pending job can affect how later documents are processed.
For Windows systems, queue behavior can also be related to the Print Spooler and the selected printer configuration. See the Print Spooler information page for background information.
4. Check the connection
Wi-Fi printer: Confirm that the printer is connected to the expected network and that the computer or other device is using a compatible connection.
USB printer: Check the physical cable and confirm that the intended printer appears in the operating system's printer list.
5. Check paper, ink, or toner
Confirm that paper is loaded correctly and that the printer is not showing an empty or low ink or toner condition that prevents the requested job from proceeding. Exact messages and printer indicators vary by model.
6. Review printer software and driver information
If the printer is visible but the workflow still does not behave as expected, check the selected printer model, operating-system compatibility, and current manufacturer documentation.
For current software and driver availability, use the official manufacturer's support or documentation source for the exact printer model.
Review printer driver information7. Review the application
If the printer works from one application but not another, compare the selected printer and print settings in the application where the problem appears. A single document or application can behave differently from other print jobs.
Important: Printer behavior varies by model, operating system, connection method, and installed software. The checks above are general informational guidance and are not a guarantee that a particular issue has a single cause.
